Notice of AGM

Friday October 22, 2021. 11:00am-12:00pm. Via Zoom (weblink to be shared closer to the day)

All members of British Columbia Technology Education Association (BCTEA) are invited to attend the 2020 AGM. The AGM requires 20% of the paid, active BCTF members of the PSA to meet quorum. Guests are welcome to attend the AGM but only paid BCTF members and teacher candidates may vote on motions and in elections.

AGENDA

Meeting Chair: Nigel Reedman, Meeting Secretary: Peter Orlandi

  1. President’s Welcome
  2. Number of PSA members present
  3. Adoption of the agenda
  4. Adoption of the minutes from 2019 AGM
  5. Treasurers report
    1. Review and adoption of financial statement from previous year.
    2. Review and adoption of 2020-21 budget
  6. Executive elections (in cases of an election the successful candidate will be chosen by simple majority of ballots cast.)
    1. Vice-president (2 year term)
    2. Treasurer (2 year term)
    3. Secretary (2 year term)
    4. Conference Liaison (1 year term)
  7. Constitutional amendments
    1. Revision to article 4.1Article 4 – Executive Committee and Duties
      1. The Executive Committee shall consist of the following: President, Vice-President, Secretary, Treasurer, Past President, Communication & Member Relations, Member at Large – Vendor Liaison, Member at Large – Conference Liaison
      2. The Executive Committee shall consist of the following: President, Vice-President, Secretary, Treasurer, Past President (when applicable), Communication & Membership Liason, Conference Liaison, Member at Large – Vendor Liaison, and two additional Member at Large positions.

Rationale: The Executive committee recommends adding two additional Member at Large positions to the executive. This would increase participation and engagement of the membership in general. These additional positions do not have a specific “job” connected to them, the hope being members would see these as opportunities to get involved without committing to a specific role in the executive.

Communication & Member Relations Liaison has been renamed to Communication and Membership Liaison to make this title more consistent with terms used at the BCTF and PSA Council levels.

“Member at Large” has also been removed from the title of Conference Liaison as this a specific role and is consistent with how other PSAs structure their executive committees.

        Addition of article 4.6

Article 4 – Executive Committee and Duties
        6.    Sub-Committees may be appointed by the executive committee from among the members of the association. Such committees shall be responsible to the executive committee. Sub-Committees should have one member of the Executive Committee to be the liaison to the executive.
Rationale: This has been the past practice of the LSA, adding this to the constitution just clarifies and keeps the practice consistent.

        Revision to article 5.1
Article 5 – Election and Appointment of Executive Committee
      1. The president, vice-president(s), Communication and Membership Liaison, and the majority of the executive, and anyone representing the PSA must be active BCTF members.

Rationale: Communication and Membership Liaison has been added to the list of executive members who must be active BCTF members. Changes in BCTF policy around PSAs now allow the member with this position to have direct access to membership data (up until now it has only been the President who has this access.) As this data contains private information on members this position must be held by an active BCTF member to maintain privacy.Revision to article 5.3Article 5 – Election and Appointment of Executive Committee
      1. All Executive Committee positions shall be for a term of two years with the positions of President, Communications & Member Relations, and Member at Large-Vendor Liaison in even numbered years and the positions of Vice-President, Secretary, Treasurer and Member at Large-Conference Liaison being elected in odd-numbered years.
      2. All Executive Committee positions shall be for a term of two years with the positions of President,Communications & Membership Liaison, Member at Large-Vendor Liaison and one Member at Large position in even numbered years and the positions of Vice-President, Secretary, Treasurer,Conference Liaison and the second Member at Large, being elected in odd-numbered years.

Rationale: Should the update to article 4.1 pass, this revision keeps the election cycle for the executive committee to half of the committee every year. This cycle is useful in making sure there is always continuum in knowledge passed on to new executive members. The titles of Communication & Membership Liaison and Conference Liaison are also updated to match the changed language in article 4.
